Executive Director

Salary Range: $55,000-$65,000 DOE

Mission Statement: The Portland Lesbian Choir builds harmony and community through compelling musical performances. We elevate LGBTQIA2S+ voices, emphasize equity, and encourage collaboration, growth, and service.

Description: The Executive Director (ED) is responsible for the overall strategic, operational, administrative and developmental functions of the Portland Lesbian Choir (PLC). The ED holds this responsibility in collaboration with the Board of Directors. The ED carries out necessary management policies and general business operations of the Organization, performs special assignments, and is empowered to exercise discretion and independent judgment in performing essential business for PLC.  The ED will also work with Choir Leadership to increase revenue and develop annual organizational budgets to review with the Board. 
The ED will develop and help foster harmonious working relationships within the organization (staff and members) and represent the organization to the wider community, clients, donors, patrons, sponsors, and business associates.The ED will also maintain productive working relationships with GALA and other community choruses and will act at times as a spokesperson  for the choir. 

Time commitment: 1.0 FTE salaried position. 40 hours per week. Flexible hours, must be able to work some evenings, and weekends, especially when nearing a concert. 

Reporting Structure: The ED is appointed by the Board of Directors and shall report directly to the board and the Board President. Each year, the ED shall receive an annual evaluation at the direction of the board, which will be overseen by the Board President. 
The ED is responsible for keeping the Board informed of pertinent business and management issues. The ED is a non-voting (ex officio) member of the Board of Directors. 

Principal Duties and Responsibilities

Financial:

• The ED will develop the organization’s annual budget on a timely basis, with the assistance of the Board, Artistic Director, and Treasurer; 

• The ED will track financial matters and assist the Treasurer in the preparation of various financial reports; 

• The ED will oversee the disbursement of checks for the purchases of assets and services, make deposits, and disburse payroll; and 

• The ED will lead staff involvement for the completion of tax filings and ensure compliance with IRS and state of Oregon rules. 

Marketing, Communications, and Public Relations:

• The ED will oversee marketing and communications and work directly with the public relations committee. The ED will deepen and refine all aspects of communications – ranging from social media to external relations in order to create a stronger brand; and 

• The ED will monitor and approve any public relations material distributed to the general public or news media including, but not limited to, press materials, playbills, flyers, newsletters, posters, promotional items, and logo usage.

Fundraising and Development:

• The ED will oversee the work of Fundraising and Development for the Organization and assist in the creation of an annual fundraising plan, which the ED will present to the Board during the annual budget meeting; 

• The ED will monitor and approve fundraising campaigns including, but not limited to, publications, solicitations, grant applications, event and fundraiser invitations or promotions, and special programs. The ED will expand local revenue generating and fundraising activities to support existing operations and expansion; and  

• The ED will directly interact with donors and, in partnership with the Board, and will be responsible for strengthening endowments and planned giving strategies. 

Strategic Leadership:

• The ED will collaborate with the Board of Directors regarding strategic planning and oversee implementation of any strategic plan approved by the Board of Directors. The ED will support the Board in ensuring that ongoing planning sessions are held in a timely fashion so that strategic plan documents are updated and perpetuated.

Leadership and Management:

• The ED will supervise all administrative staff, including volunteers. The ED will actively engage and energize PLC volunteers, board members, committees, partnering organizations, business sponsors, and funders; 

• The ED will oversee daily business operations and negotiation of vendor contracts; and  

• The ED will interface with the Choir Coordinating Officers and Committees to advise them regarding Organizational Policies and Procedures.

Artistic Production:

• The ED will collaborate with the Artistic Director to ensure and approve the appropriate business arrangements for performances, recordings, outreach, and tours; and 

• The ED will negotiate contracts for performance venues and will serve as the liaison for house management, ticketing, as well as arrangements and accommodations for guests and artists.

Qualifications: Required

• A commitment to the mission of PLC;

• A minimum of a Bachelor’s Degree or a minimum of five years of proven experience in administration, revenue development, and personnel management, preferably in the arts industry, including but not limited to: profit and loss responsibilities, salary administration, employee management, budget preparation, budget administration, fundraising and development; and 

• An interest and passion working with the arts and LGBTQ+ community.

Qualifications: Preferred

• Excellent verbal and written skills, especially as those skills relate to writing grant proposals, and marketing materials;

• The ability to present a professional and positive image to a wide variety of individuals and organizations;

• Experience cultivating and managing individual donors and corporate sponsors and proven experience in generating diversified revenue sources;

• Experience in all elements of donor event planning and management;

• Database expertise and experience writing reports;

• Experience with marketing, marketing strategies, media relations, branding standards, and managing advertising contracts;

• Strong organizational and communication skills with ability to manage and prioritize multiple projects and tasks;

• Experience working with a volunteer board of directors and managing paid and volunteer staff;

• Experience with contract negotiation and administration;

• Highly dependable, takes initiative, has good judgment and is able to function with minimal supervision while producing quality work; 

• Experience managing a team and navigating conflict within in an empathetic and ethical framework; and 

• Understanding and grounding within the music and/or arts community and their patrons.
